Remote Administrative Assistant — Executive and Fundraising Support (Contract)
HOURS & LOCATION: 10-20 hours/week, remote
SALARY: $45-55 per hour, commensurate with experience

The Opportunity
At The Well is seeking a dependable and detail-oriented Administrative Assistant (Contract) to provide part-time support for our fundraising efforts, CEO, and executive team.
This role is well-suited for someone who enjoys organizing information, keeping records up to date, and helping a small team stay prepared and on track. The Administrative Assistant will primarily support Salesforce updates, fundraising research and meeting preparation, event logistics, and occasional executive projects.
Key Responsibilities
Salesforce and Fundraising Administration
- Update donor and prospect records in Salesforce using information provided by the CEO and development team.
- Enter notes from donor and prospect conversations.
- Record follow-up tasks, next steps, and future contact dates in Salesforce. Elevate these to the team regularly to ensure progress.
- Make basic updates to contact information and other record details.
- Pull existing Salesforce reports to support meetings, fundraising reviews, and follow-up work.
- Manage Salesforce Opportunity records for incoming donations, ensuring gifts are accurately recorded and updated.
- Coordinate donor stewardship following each gift, including thank-you cards and tax acknowledgment letters.
- Review Contact and Opportunity records created through automated Zapier integrations each week and resolve errors or incomplete information.
- Dedicate approximately one hour per week to reviewing and correcting incoming Salesforce records.
- Complete light, ongoing Salesforce data cleanup to improve record accuracy and consistency.
Prospect and Meeting Preparation
- Conduct basic research on prospective donors, foundations, and organizational partners.
- Compile information into concise prospect briefs using an established format.
- Gather relevant giving history, professional background, organizational affiliations, and prior engagement with At The Well.
- Prepare reports, background materials, and other documents for donor or prospect meetings.
- Help organize and track follow-up items after meetings.
Fundraising Event Support
- Assist with administrative and logistical tasks for in-person and virtual donor gatherings and fundraising events.
- Help maintain invitation lists, RSVPs, guest information, schedules, and event materials.
- Support communication and coordination with attendees, vendors, staff, and board members as assigned.
- Enter event attendance and relevant follow-up information into Salesforce.
CEO and Executive Team Support
- Provide administrative support for occasional projects led by the CEO, COO, or executive team.
- Assist with meeting preparation, presentation preparation, document organization, research, and follow-up related to fundraising and organizational priorities.
- Format documents, organize shared files, and compile information as requested.
- Complete other clearly defined administrative assignments as time and capacity allow.
Qualifications
- Previous experience in administrative support, fundraising support, nonprofit operations, executive assistance, or a related area.
- Strong organizational skills and attention to detail.
- Ability to accurately enter, organize, and maintain information.
- Experience with Salesforce required.
- Comfortable working in and setting up AI workflows and integrations such as Claude and Zapier.
- Comfort working with spreadsheets, reports, shared documents, and online research.
- Clear written communication skills.
- Ability to manage assigned tasks independently and communicate when additional information or direction is needed.
- Sound judgment and discretion when working with confidential donor and organizational information.
- Interest in At The Well’s mission and work.

Contractor Relationship
This is a part-time independent contractor role requiring approximately 15–20 hours per week. The contractor will generally determine when and how the work is completed while meeting agreed-upon deadlines and participating in 2-3 hours of scheduled meetings. Weekly workload may vary depending on fundraising activities, events, and organizational needs.
